Job Summary

POSITION SUMMARY:

The Executive Assistant will report to the President & CEO support the Executive Leadership team.  The candidate will be a highly organized and proactive individual and will embody our core values. The ideal team member will be resourceful, have a positive attitude, operate with tact and discretion, and possess strong communication and organizational skills.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

The Executive Assistant will be responsible for, but not limited to, the following duties:

 

  • Calendar Management: Manage the CEO’s calendar, schedule meetings, and coordinate appointments. Ensure executives are prepared for meetings and have all necessary materials.
  • Meeting Preparation and Minutes: Plan and prepare internal and external meetings including creating agendas, taking minutes, and following up on action items. Organize company-wide events (such as an annual spring picnic, thanksgiving, holiday party)
  • Travel Arrangements: Organize travel arrangements such as booking flights, cars, and hotel or restaurant reservations, as well as supporting incoming Board Members to include reservations, hotel, car rentals.
  • Report Preparation: Prepare internal and external corporate documents for the CEO and executive team.
  • Confidentiality: Maintain strict confidentiality of sensitive information.
  • Project Management: Assist with special projects, provide project support, and monitor and ensure deadlines are met.
  • Administrative Duties: Perform routine administrative duties such as organizing documents and expense management.
    • Assist the other 3 executives with administrative tasked.
  • Performs other duties as required.

 

Supervisory Responsibilities:  N/A

 

Travel Demands: Anticipated domestic and international travel is approximately minimal depending on business needs.

LANGUAGE ABILITY:

Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Write routine reports and correspondence. Speak effectively before groups of customers or employees.

MATHEMATICAL ABILITY:

Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Apply concepts of basic algebra and geometry.

REASONING ABILITY:

Apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Deal with problems involving a few concrete variables in standardized situations.
