Job Summary

 

POSITION SUMMARY:

The Executive Assistant will be a highly organized and proactive individual reporting to the Executive Vice President & CEO and will embody our core values. The ideal team member will be resourceful, have a positive attitude, and possess strong communication and organizational skills.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

The Executive Assistant will be responsible for, but not limited to, the following duties:

 

  • Calendar Management: Manage the Executive Team’s calendar, schedule meetings, and coordinate appointments. Ensure the Executive Team is prepared for meetings and has all necessary materials.
  • Communication: Act as a point of contact between the Executive Team and internal or external colleagues. Manage information flow in a timely and accurate manner.
  • Meeting Preparation and Minutes: Prepare for meetings including creating agendas, taking minutes, and following up on action items. Organize company-wide events (such as an annual spring picnic, thanksgiving, holiday party)
  • Travel Arrangements: Organize travel arrangements such as booking flights, cars, and hotel or restaurant reservations. Incoming Board Members to include reservations, hotel, car rentals.
  • Report Preparation: Prepare internal and external corporate documents for the Executive Team and the board of directors.
  • Confidentiality: Maintain strict confidentiality of sensitive information.
  • Project Management: Assist with special projects, provide project support, and ensure deadlines are met.
  • Administrative Duties: Perform routine administrative duties like, organizing documents, and managing office supplies.
  • Performs other as assigned.

 

Supervisory Responsibilities:  N/A

 

Travel Demands: Anticipated domestic and international travel is approximately 10-25% depending on business needs.

  • Worked in a fast-paced environment, ideally within a manufacturing industry.
  • Ability to anticipate the needs of the Executive Team and act proactively.
  • Demonstrated strong organizational and time-management skills.
  • Communicated effectively and handle sensitive information with discretion.
  • Proficient in Google platforms, Slack, Gmail, Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media.
  • Ability to adjust to ongoing and last‐minute changes with tact and poise.
  • Strong emotional maturity.
  • Highly resourceful team‐player, with the ability to also be extremely effective independently.


LANGUAGE ABILITY:

Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Write routine reports and correspondence. Speak effectively before groups of customers or employees.


MATHEMATICAL ABILITY:

Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Apply concepts of basic algebra and geometry.


REASONING ABILITY:

Apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Deal with problems involving a few concrete variables in standardized situations.
