Position Summary
The Service Administrator plays a critical dual role in supporting both the service and parts operations of the branch. This individual will be responsible for coordinating service scheduling, supporting customer and warranty billing, and managing all warehouse operations, including parts sourcing, inventory management, and customer-facing sales. This role works closely with service technicians, operations managers, sales teams, and customers to ensure exceptional service delivery and efficient service fulfillment. The ideal candidate is customer-focused, highly organized, and comfortable navigating both service workflows and warehouse systems.
Essential Duties and Responsibilities

Schedule and document service jobs for workshop and field activities

Support all customer and warranty billing processes, including invoicing and payment collection

Manage parts inventory, including ordering, receiving, stocking, and cycle counting

Process parts orders via phone, email, and walk-in customers, ensuring accurate and timely fulfillment

Assist technicians and operations teams with procurement of DEUTZ and non-DEUTZ parts for repairs

Serve as the liaison between service and parts teams to ensure jobs are completed efficiently

Maintain warehouse organization, including daily housekeeping of parts counters and storage areas
-
Handle shipping and receiving duties, prepare shipping documents, and perform SAP entries
-
Maintain strong communication across departments and with customers to uphold DEUTZ standards

Support documentation process improvements and continuous service department enhancement initiatives

Participate in annual and cycle inventory counts and assist with emergency parts callouts as needed

Minimum Requirements
-
High School Diploma or G.E.D.

High competency level in computer skills, Microsoft Office, Outlook, and Excel.
Preferred Requirements

Familiarity with warehouse operations

Strong working knowledge of internal combustion engines

Strong knowledge of service & repair or warranty-related fields.

Strong HD truck or equipment dealer experience.

Exceptional knowledge of SAP business operating system.
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer

Must be able to lift up to 15 pounds at a time.
